1. Overview

Clynt.ai EOIR Case Companion ("the Extension") is a Chrome browser extension that helps immigration attorneys organize hearing data from the EOIR Case Access System (ECAS). This privacy policy explains what data the Extension accesses, how it is stored, and what information, if any, leaves your device.

The core principle is simple: your data stays on your device. The Extension has no backend server that receives or stores your hearing data. There is no user account, no analytics, and no telemetry.

2. Data stored on your device

The Extension stores the following data locally in your browser:

All of this data is stored in your browser's local storage. None of it is transmitted to Clynt.ai or any server we operate, except as described in Section 7 (AI-powered import) and Section 8 (SMS messaging).

The Extension requests the following Chrome permissions:

The Extension also requests host permissions for specific domains: the EOIR portal (to read hearing data), Google APIs (for Calendar and Gmail integration), Microsoft Graph API (for Outlook integration), and our Vercel proxy (for AI-powered import). These are used only for their stated purposes.

5. Google services integration

If you choose to connect Google services, the Extension requests the following OAuth scopes:

Calendar events and Gmail data are processed entirely within your browser. The Extension communicates directly with Google's APIs — no data passes through any intermediary server. You can disconnect Google services at any time from the Extension's settings, which revokes all access.

The Extension's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Microsoft services integration

If you choose to connect Outlook Calendar, the Extension requests the Calendars.ReadWrite scope to create and update hearing events. Communication goes directly from your browser to the Microsoft Graph API. No hearing data passes through any intermediary server. You can disconnect at any time from the Extension's settings.

7. AI-powered import

When you import a CSV file, the Extension offers an AI-powered column mapping feature to automatically match your spreadsheet columns to the expected hearing fields. To do this:

Alongside SMS messaging (Section 8), this is one of only two features in the Extension that may send data to an external server. If you prefer not to use AI column mapping, you can manually map columns instead.

8. SMS messaging

The Extension includes an optional feature to send text-message reminders to respondents who do not have an email address on file. You control which sending mode is used from the Extension's settings:

Regardless of mode, the Extension keeps a local SMS history on your device (recipient, timestamp, status, and a short message preview) so you can see what has been sent for each respondent. This history never leaves your device.

Your responsibility as sender. When you use either mode, you are the sender of the message. You represent that you have obtained any consent required by applicable law (including the U.S. Telephone Consumer Protection Act, CAN-SPAM, and state analogs), that the recipient has not opted out, and that the content complies with professional conduct rules. The Extension does not send messages on your behalf without an explicit action from you.

9. Interaction with EOIR systems

The Extension reads hearing data that is already loaded in your browser when you visit the EOIR Case Access portal. It does not:

The Extension only reads data that your browser has already received as part of normal EOIR portal usage.

10. Third-party services

The Extension interacts with the following third-party services only when you explicitly enable them:

Each of these services has its own privacy policy. The Extension does not share data between these services or use them for any purpose other than what is described above.

11. Data retention and deletion

All hearing data, notes, checklists, change history, and SMS history are stored locally in your browser and retained until you choose to delete them. You can delete all Extension data at any time using the "Clear All Data" option in the dashboard. Uninstalling the Extension also removes all stored data.

OAuth tokens for Google and Microsoft are stored locally and can be removed by disconnecting the respective service in settings.

12. Children's privacy

The Extension is designed for use by legal professionals and is not directed at children under the age of 13. We do not knowingly collect any personal information from children.

13. Changes to this policy

We may update this privacy policy from time to time. If we make material changes, we will update the effective date at the top of this page. Continued use of the Extension after changes constitutes acceptance of the revised policy.
